We collect only the information needed to operate this website and respond to enquiries. We do
not sell personal information or use applicant documents for advertising.

When you contact the lab, we may receive:
- your name, email address, and current institution or organization;
- the type and subject of your enquiry;
- your intended start date, research interests, funding plans, and message;
- a CV and research statement if you are making a prospective applicant enquiry; and
- any other information you choose to include.
Please provide only information relevant to your enquiry. Do not include identification documents,
financial information, health information, or confidential third-party information unless the lab
or an authorized university office specifically requests it through an appropriate channel.
The website uses Google Analytics 4 to understand aggregate website use. Depending on your browser
and analytics settings, this may include session statistics, approximate location, referring pages,
browser and device information, page interactions, and an identifier stored in the _ga cookie.
The hosting and security services used by the website may also process technical information such
as IP addresses, request times, requested pages, and browser information to deliver and protect the
site.
We use personal information only as reasonably necessary to:
- review, route, and respond to an enquiry;
- consider potential supervision, research visits, fellowships, or collaboration;
- communicate about the enquiry and related next steps;
- maintain the security, reliability, and accessibility of the website; and
- understand aggregate website use and improve the site’s content and navigation.
Submitting an enquiry is not a formal application to Tohoku University and does not guarantee
admission, supervision, funding, employment, or collaboration.
Access to enquiry information is limited to lab members who need it to review, route, or respond.
Information may also be processed by service providers used to operate the website and forms,
including:
- Mintlify for website hosting and delivery;
- Google Analytics for website usage measurement;
- Google Forms for the current enquiry form; and
- Tally for information submitted through the earlier enquiry form, where applicable.
Service providers process information under their own infrastructure, terms, and security measures.
Their processing may take place outside Japan. We may also disclose information when required by
law or an authorized Tohoku University process.
Retention and deletion
We keep enquiries and applicant documents only for as long as reasonably needed to review and
respond, maintain necessary follow-up records, meet applicable university requirements, or resolve
related issues. If an enquiry leads to a formal application, appointment, research visit, or
collaboration, the relevant university record-retention rules may apply instead.
Analytics information is retained according to the settings of the Google Analytics property.
Google Forms responses are handled according to the form and account settings managed by the lab.
If you previously submitted information or documents through Tally, that information remains
covered by this notice; changing the website’s form does not itself delete earlier submissions.
Security
We use access restrictions and university-managed accounts where available. No online service can
guarantee absolute security, so please avoid submitting information that is not needed for the
enquiry.
Your requests
You may ask about personal information you submitted, or request its access, correction, or
deletion. Some information may need to be retained when required by law, university policy, or an
ongoing formal process.
Send your request through the contact page. Describe the enquiry or submission so we
can locate it, but do not send additional sensitive documents with the request unless asked.
Changes to this notice
We may update this notice when the website, contact form, service providers, or university
requirements change. The date at the top shows the latest revision.
